Effective Date: 1st October 2026.
Last Updated: 1st October 2026
Thank you for choosing Bridal by Emma Victoria to be part of your wedding day.
These terms and conditions set out the arrangements and expectations relating to your bridal hair and makeup booking. My aim is to keep everything clear and straightforward, whilst ensuring you know what to expect throughout your bridal experience.
By confirming your booking and/or paying your booking fee, you confirm that you have read, understood and agreed to these terms and conditions.
A 20% booking fee is required to secure your wedding date.
Your wedding date is only confirmed once the booking fee has been received and your booking has been accepted.
The booking fee forms part of your total booking cost and will be deducted from your remaining balance.
By reserving your date exclusively for you, I am committing that date to your wedding and may decline other enquiries for the same date.
The booking fee is intended to be non-refundable, subject to applicable consumer law. If your circumstances change, please contact me as soon as possible and I will always consider whether an alternative arrangement or transfer is possible.
A bridal trial can only be booked once your wedding date has been secured.
The remaining balance is due 7 days before your wedding date.
You are welcome to pay your balance earlier if you wish, but payment is not required until this deadline.
Any additional services, travel costs or agreed expenses added after your original booking will be charged separately and confirmed with you in writing.
I understand that wedding plans can change, and I will always do my best to accommodate reasonable changes where I can.
If you need to add or remove services, change the number of people receiving hair or makeup, change your preparation location or make any other changes to your booking, please let me know as soon as possible.
Services can be removed from your booking up to 3 months before your wedding date.
Within 3 months of your wedding date, services cannot be removed from your booking and the original agreed balance will remain payable.
This includes reducing the number of bridal party members receiving services or removing individual hair or makeup services.
This is because time, availability and, where applicable, additional artists will have been reserved specifically for your wedding.
Any changes to your booking or agreed costs will be confirmed with you in writing.
If your wedding date needs to be changed, please contact me as soon as possible.
I will always do my best to transfer your booking to your new date, subject to my availability.
If your new date is available, your booking may be transferred, subject to any necessary changes to services, travel or pricing.
If I am unavailable for your new date, the booking will be treated in accordance with the cancellation terms below.
If you need to cancel your booking, please notify me in writing as soon as possible.
Your wedding date is reserved exclusively for you, and I may decline other enquiries for the same date.
The 20% booking fee is non-refundable, subject to applicable consumer law.
If your wedding is cancelled within 3 months of the wedding date, the full remaining balance of the booking will become payable.
This reflects the significant reduction in opportunity to rebook the date and the time, staffing and resources reserved specifically for your wedding.
If your wedding is cancelled more than 3 months before the wedding date, the booking fee will remain payable and any further amounts will be dealt with in accordance with the circumstances of the cancellation and applicable consumer law.
If you need to cancel or make changes to your booking, please contact me as soon as possible so that we can discuss the circumstances and options available.
A bridal trial gives us the opportunity to discuss your vision, try different ideas and make any adjustments before your wedding day.
A combined hair and makeup trial lasts up to approximately 3.5 hours.
A hair-only or makeup-only trial lasts up to approximately 1.5 hours.
These timeframes are intended to provide sufficient time to create and refine your chosen look. If additional time or a further trial is required, this can be arranged at an additional cost.
I will always do my best to arrange your trial around your availability. However, weekend availability is limited as these dates are primarily reserved for weddings, so weekday trials may be more readily available.
Trials are typically recommended to be booked around 2-3 months before your wedding date. I will book these for you at the start of the new year in which you are getting married.
Trial appointments must be paid for before leaving the appointment.
If you need to reschedule your trial due to illness or unforeseen circumstances, please contact me as soon as possible and I will do my best to find an alternative date.
For larger bridal parties, I may recommend an additional professional hair and/or makeup artist to ensure everyone can be completed within the agreed schedule.
An additional artist sourcing and coordination fee of £100 will apply when I arrange an additional artist for your booking.
The additional artist’s hair and/or makeup services will be charged separately at the rates shown on your agreed quotation.
I will select an experienced and reputable artist whose standard of work is appropriate for your booking.
If you choose to arrange your own additional artist, the £100 sourcing and coordination fee will not apply. This must be discussed and agreed with me in advance.
Travel is charged at £0.60 per mile, per artist, calculated from my base location to the destination and return.
Where an additional artist is required, their travel will also be chargeable.
Any applicable congestion charges, bridge tolls, parking charges or other necessary travel expenses are payable by the client.
Please ensure suitable parking is available at the preparation location where possible. I travel with a substantial amount of professional equipment, and difficult access or parking may affect timings.
Any parking charges incurred during the booking may be invoiced separately.
Early Start Fee
An early call-out fee of £20 applies where your required start time means I need to leave my home before 6am.
Change of Preparation Location
If your preparation location changes after your booking has been confirmed, a £30 change-of-location fee per artist may apply, together with any additional travel costs.
If you need to move between preparation locations during the wedding morning, please discuss this with me in advance wherever possible.
Timings are an important part of creating a calm and enjoyable wedding morning.
I will create a personalised wedding morning schedule based on your booked services, bridal party and agreed finish time.
Everyone receiving a service is responsible for being available at their allocated appointment time.
If a member of the bridal party is significantly late, I may need to shorten, alter or, where necessary, forfeit their service in order to protect the overall wedding morning schedule.
No refund will be due for a service that cannot be completed because the client or bridal party member is unavailable at their allocated time.
Please ensure everyone involved is aware of their timings before the wedding morning.
You are responsible for providing a suitable location for your hair and makeup services.
The space should provide enough room for professional equipment and allow me and any additional artist to work safely and comfortably.
If there are any access difficulties, including significant stairs, long walking distances, restricted parking or unusual venue access arrangements, please let me know in advance.
If access is significantly different from what was agreed and this causes delays or additional costs, these may be chargeable.
You must inform me of any known allergies, skin sensitivities, medical conditions or previous reactions to hair or makeup products before I provide any service.
This information must be provided before your trial and/or wedding day service so that I can take appropriate precautions and select suitable products where possible.
If you experience any unusual discomfort or reaction during your appointment, please inform me immediately so that I can stop or adapt the service where appropriate.
Where appropriate, a patch test may be recommended and can be arranged in advance.
I will take reasonable care when selecting products based on the information you provide. However, no cosmetic product can be guaranteed to be completely reaction-free for every individual.
I will plan my journey carefully and allow additional time wherever possible.
However, delays caused by circumstances outside my reasonable control may affect arrival times. This may include severe weather, road closures, accidents, traffic, diversions or other unforeseen travel disruption.
If you are aware of any road closures, events, restrictions or other circumstances that may affect access to your preparation location, please let me know as soon as possible.
If severe weather or another situation makes travel unsafe, I reserve the right to postpone or cancel the service where necessary for my safety or the safety of my team.
Where possible, I will work with you to find a reasonable alternative solution.
I strongly recommend appropriate wedding insurance to protect you against circumstances outside either party’s reasonable control.
If you need to move between preparation locations during the wedding morning, this must be discussed with me as early as possible.
A £30 change-of-location fee per artist will apply where the preparation location is changed after your booking has been confirmed, together with any additional travel costs incurred as a result.
Additional travel time, parking, traffic, road closures or other delays caused by a change of location may affect the agreed schedule.
I cannot guarantee that the original schedule can be maintained where a last-minute location change creates additional travel or delays.
I will use professional products and techniques and will work to create the agreed hair and makeup look to the highest standard possible.
Hair and makeup can be affected by factors outside of my control, including weather, humidity, heat, perspiration, natural hair texture and skin condition.
While I will use professional products and techniques designed for longevity, I cannot guarantee that your finished hair and makeup will remain completely unchanged throughout the day or in all weather conditions.
Your satisfaction is extremely important to me.
Please let me know during your appointment if you would like any reasonable adjustments to your hair or makeup. I will always do my best to make amendments within the agreed service and available time.
Once I have left the venue, I cannot guarantee that I will be able to make further changes.
Any additional services requested on the day that were not included within your original booking are subject to availability and will be charged at the current agreed rate.
Where reasonably possible, I will confirm any additional charges with you before providing the service.
I may capture photographs and/or video content of hair and makeup created by Bridal by Emma Victoria during your trial or wedding day.
This content may be used by Bridal by Emma Victoria for marketing, social media, website, portfolio and promotional purposes, unless you have specifically informed me otherwise.
If you do not wish for photographs or content featuring you to be used, please let me know in writing before your service takes place.
You can change your preference at any time by contacting me.
I am committed to providing a calm, professional and respectful environment for every client.
I ask that the same courtesy is extended to me and any members of my team.
I reserve the right to stop or end a service where I or a member of my team is subjected to threatening, abusive, discriminatory, violent or seriously inappropriate behaviour.
Where a service is ended due to serious misconduct, the position regarding payment will be considered in accordance with the circumstances and applicable law.
In the very unlikely event that I become seriously ill, injured or otherwise unable to attend your booking, I will contact you as soon as reasonably possible.
Where possible, I will make reasonable efforts to arrange a suitable replacement professional.
If I am unable to provide the booked service and no suitable alternative can be arranged, I will provide an appropriate refund for services I am unable to provide, subject to your legal rights.
Neither you nor I can always control circumstances that may arise unexpectedly.
If an event occurs that materially affects your booking, I will communicate with you as soon as reasonably possible and make reasonable efforts to find a suitable solution.
This may include changing timings, arranging an alternative artist, rescheduling a trial or making another reasonable adjustment.
I strongly recommend wedding insurance to protect you against cancellation, postponement and other unforeseen circumstances.
From the moment you enquire, I aim to provide clear and personal communication throughout your bridal journey. I will be available for unlimited email communication Monday – Friday.
Please keep me updated with any changes to your venue, preparation location, timings, bridal party numbers or services.
Important booking information and changes should be communicated by email wherever possible so that we both have a clear written record.
